Rondout Valley Education Foundation Grant Protocol

200__ Grant Program

The purpose of this program is to provide grants to support initiatives that will

enhance educational opportunities for children of RVCSD.

 

Applications are accepted by the Foundation from February 1 – April 30

Grant awards will be announced by June 30

 

1.  ELIGIBILITYStudents and staff of Rondout Valley Central School District (RVCSD) and Service Providers working with students of RVCSD.

 

2.  GRANT WORKSHOP It is suggested that all applicants attend a Grant Workshop held in January of each year prior to proposal submission

 

3.  APPLICATION PROCEDURES Applications for grants should be submitted to The Rondout Valley Education Foundation using the form provided.

 

4.  REVIEW AND SELECTION PROCESS All applications will be reviewed by a selection committee of representatives of the Foundation. The selection committee will utilize a rubric to assess each grant. The following are some of the criteria considered in evaluating the proposal:

(a) the likelihood that the proposed project will enhance educational opportunities for children of the RVCSD;

(b) whether or not the proposal is practical and realistic;

(c) how the proposal aligns with the yearly goals of the Foundation.

 

5.  FINANCIAL PROCEDURES The Executive Director or a representative of the RVEF will be responsible for issuing all grant awards. The RVEF will establish a special grant account for each project receiving funds. These accounts will be monitored by the RVEF Board of Directors through the treasurer and finance committee. Unused funds will be returned to the RVEF. Action will be taken to recover funds if terms of contract agreement are violated.  

 

For grants awarded to the RVCSD, a special grant account will also be established by the School District’s Business Office. Standard School District purchasing procedures must be followed.

 

6.  FINAL GRANT REPORT Within 45 days following completion of the project, a report must be submitted to the RVEF. The report will include:

  1. a description of the project and how it enhanced educational opportunities for students;
  2. the project evaluation;
  3. a full account of fund expenditures with documentation. Unused funds will be returned to the Foundation within 45 days of receipt of the final report; and
  4. if applicable, a plan for continued project implementation and funding source.

 

7. RECOGNITION OF RECIPIENT OF THE GRANT Recipients will be named in June. Local media will be informed of grant projects and given the names of the recipients selected. A copy of the approved grant will be sent to the recipient. All grants awarded through the Rondout Valley Central School District will be announced at a meeting of the Board of Education.
